Terms & Conditions Outside Inn Glamping
Welcome to Outside Inn Glamping.
These Terms & Conditions are in place to help ensure all guests have a safe, enjoyable, and relaxing stay while also helping us protect the site, accommodations, and surrounding countryside environment.
By making a booking with Outside Inn Glamping, guests acknowledge and agree to the Terms & Conditions outlined below.
1. Booking, Payments & Cancellation Policy
1.1 Payment Schedule
To secure your booking, payments will be taken in instalments as outlined below:
Initial Payment
A payment of 30% of the total booking value is required at the time of booking to confirm and secure your reservation.
Second Instalment
A further 30% of the total booking value is due 60 days prior to your scheduled arrival date.
Final Balance
The remaining balance is due 25 days prior to arrival.
Failure to make payments by the stated due dates may result in cancellation of your booking and forfeiture of any monies already paid.
1.2 Bookings Made Within 60 Days of Arrival
If a booking is made within 60 days of the scheduled arrival date, both the initial 30% payment and the second 30% instalment (60% total) will be required at the time of booking.
The remaining balance will then be due 25 days prior to arrival.
1.3 Bookings Made Within 25 Days of Arrival
If a booking is made within 25 days of the scheduled arrival date, the full balance (100%) will be required at the time of booking.
1.4 Cancellation Policy
Full Refund
Cancellations made 30 days or more prior to arrival will receive a 100% refund.
Partial Refund
Cancellations made between 15 and 29 days prior to arrival are eligible for a 50% refund.
No Refund
Cancellations made 14 days or less before arrival are non-refundable.
2. Pre-Arrival Requirements
2.1 Security Pre-Authorisation – £100
A £100 security pre-authorisation will be placed on the card used for booking two days prior to arrival.
This is not a charge, but a temporary hold placed against the card. The pre-authorisation will be released after check-out, subject to a satisfactory property inspection and in line with our damage policy.
The holding deposit may be used to cover:
Damages
Excessive cleaning
Missing items
Smoking-related cleaning
Breaches of these Terms & Conditions
Any additional costs caused by negligence or misuse
Please ensure sufficient funds are available for this pre-authorisation. Failure to provide a valid pre-authorisation may result in refusal of check-in in line with our cancellation policy.
Please note that bank processing times may vary and may take up to 7 working days for the funds to be released back to your account.
Airbnb & Booking.com Guests
Airbnb and Booking.com do not automatically process security deposits. Guests booking through these platforms must log into the Guest Portal and manually add a valid payment card to complete the pre-authorisation process.
Other Booking Platforms
For guests booking directly or through other booking platforms, the £100 pre-authorisation will normally be processed automatically 48 hours prior to arrival.
2.2 Rental Agreement & Check-In Requirements
All guests are required to complete the pre-arrival process at least 48 hours prior to their scheduled check-in.
This includes:
Signing the Rental Agreement via the Guest Portal
Completing the online check-in form in full
Uploading a valid government-issued photo ID for verification purposes
Completing the security pre-authorisation requirements
Access details and check-in information will only be released once all pre-arrival requirements have been completed.
3. Check-In & Check-Out
3.1 Check-In
Check-in is available from 2:00 PM.
Guests arriving between 2:00 PM and 5:00 PM may receive onsite assistance if required. Guests arriving after 5:00 PM will be required to use self-check-in via the key-safe instructions provided in the Guest Portal.
3.2 Check-Out
Guests must vacate the accommodation by 10:00 AM on the day of departure.
Due to strict turnaround times for cleaning and preparation, late check-outs are unfortunately not possible unless agreed in writing prior to arrival.
3.3 Guest Support Hours
Our team is available by phone until 10:00 PM each evening for emergencies only.
In the event of an emergency during your stay, such as a fire, serious safety issue, or urgent property-related matter, please contact the emergency number provided within your Guest Portal.
Please note that after 10:00 PM, we will not respond to general questions, maintenance requests, or non-urgent matters relating to your stay until the following morning.
We kindly ask guests to raise any non-emergency queries during normal support hours where possible.
4. Dog Policy
4.1 Dog-Friendly Accommodation
Dogs are welcome in all accommodations except The Cabin and The Yurt Den.
For accommodations that allow dogs, the following rules apply:
Dogs must not be left unattended inside the accommodation
Guests are responsible for cleaning up after their dogs both indoors and outdoors
Dog waste must be disposed of correctly
Excessive dog hair on bedding or furniture should be cleaned before departure where possible
Guests who bring dogs into non-dog-friendly accommodations may be refused check-in and/or charged for additional cleaning and damages where applicable.
4.2 Responsibility
Owners are fully responsible for the safety, behaviour, and control of their dogs at all times during their stay.
4.3 Additional Charges
Additional charges may apply for:
Excessive cleaning caused by pets
Damage caused by chewing, scratching, or urination
Failure to remove dog waste
Damage to furniture, bedding, or outdoor areas
5. Hot Tubs
5.1 Usage & Care
Guests must follow all instructions provided regarding the safe use and treatment of hot tubs.
No bath bombs, oils, bubbles, dyes, or other additives are permitted unless specifically approved by management.
5.2 Maintenance Access
Our team may occasionally require access to hot tubs during your stay for maintenance or safety checks, often during the morning. Every effort will be made to minimise disruption and respect guest privacy.
5.3 Damage & Misuse
Guests may be charged for damage, misuse, contamination, or any additional maintenance required due to improper use of the hot tubs.
6. Fire Pits & Pizza Ovens
6.1 Cleaning
Pizza ovens must be cleaned after use and left in a reasonable condition.
6.2 Gas Fire Pits
Gas fire pits are provided for guest use and enjoyment during your stay.
Guests must use all fire pit facilities responsibly and ensure they are fully turned off after use.
Guests must not tamper with gas connections, move equipment, or use any unauthorised fuels or materials within the fire pits.
Any damage caused through misuse, negligence, or failure to follow instructions may result in charges being deducted from the holding deposit.
6.3 Guest Responsibility
Guests are responsible for using all outdoor cooking and fire equipment safely and responsibly throughout their stay.
7. Waste Management
7.1 Rubbish & Recycling
Guests must dispose of all rubbish and recycling using the bins provided within the designated waste areas.
7.2 Site Cleanliness
Outdoor areas should be kept clean and tidy throughout your stay to help maintain the site and reduce wildlife activity.
8. Kitchen Facilities
8.1 Cooking Facilities
Each accommodation includes cooking facilities suitable for the type of accommodation booked.
Please note that the Yurt accommodation includes an outdoor kitchen experience only and differs from the other lodges on site.
The Yurt does not include:
A microwave
An indoor hob
Cooking facilities for the Yurt include the outdoor pizza oven only.
8.2 Kitchen Equipment
Kitchenware, utensils, and cutlery are provided for guest convenience and must be left clean and accounted for on departure.
8.3 Washing Up
All washing up must be completed before check-out.
9. Yurt Accommodation – Important Information
9.1 Outdoor Living Experience
The Yurt accommodation offers a more immersive indoor/outdoor glamping experience and differs from the other lodges on site.
Guests acknowledge that the Yurt experience involves outdoor living and exposure to natural weather conditions. While comfortable and fully equipped, guests should not expect the same environment or facilities as a traditional hotel or fully indoor accommodation.
9.2 Wood-Fired Hot Tub
Where a pre-heat service has been purchased, the hot tub will be heated prior to arrival.
For one-night stays, the pre-heated hot tub is normally sufficient for your stay. Guests staying multiple nights may require additional logs to reheat the hot tub.
To help maintain temperature and reduce heating times, guests are advised to keep the hot tub lid on whenever it is not in use.
9.3 Separate Bathroom Facilities
The bathroom facilities for the Yurt are private and exclusively for Yurt guests; however, they are located separately from the main sleeping area.
Guests should be aware that access to the bathroom requires stepping outside, including during poor weather or at night.
9.4 Bean Bags & Outdoor Furnishings
Bean bags and soft furnishings may be used outside during your stay; however, they must not be left outside overnight or during wet weather conditions.
Guests are responsible for returning these items inside to prevent weather-related damage. Any damage caused by failure to follow these instructions may result in charges being deducted from the holding deposit.
10. Damages, Breakages & Charges
10.1 Reporting Issues
Guests must promptly report any damage, breakage, or maintenance issue during their stay.
Failure to report issues may result in additional charges.
10.2 Charges
Outside Inn Glamping reserves the right to charge for costs arising from guest negligence, misuse, or failure to follow these Terms & Conditions, including but not limited to:
Damage to furniture, fixtures, or facilities
Excessive cleaning requirements
Stained bedding, carpets, or furniture
Excessive rubbish left inside accommodations
Missing items
Repairs or replacements caused by negligence or misuse
10.3 Smoking-Related Charges
Damage, cleaning, smoke odour removal, or additional maintenance caused by smoking in prohibited areas may result in charges deducted from the holding deposit.
10.4 Non-Exhaustive List
The examples above are not exhaustive. Outside Inn Glamping reserves the right to recover reasonable costs incurred due to guest actions or breaches of these Terms & Conditions.
11. Site Respect & Guest Conduct
11.1 Respect for the Site
Guests are expected to treat the site, accommodations, facilities, neighbouring properties, and other guests with respect at all times.
11.2 Quiet Hours & Noise Policy
Quiet hours begin at 10:00 PM each evening.
All music must be turned off by 10:00 PM, and we kindly ask all guests to keep noise to a minimum out of respect for neighbouring properties and other guests staying on site.
Outside Inn Glamping operates within a peaceful countryside setting, and any excessive or disruptive noise late at night may result in intervention by management.
Any noise complaints received from neighbouring properties, other guests, or site management may result in part or all of the holding deposit being retained.
Persistent disruption, anti-social behaviour, or failure to follow quiet hour rules may also result in termination of the stay without refund.
11.3 Visitors
Any visitors attending the site must be approved and registered with management in advance.
The number of guests included on your booking is the maximum number of guests permitted within the accommodation and on the site during your stay.
Unauthorised visitors or additional guests who have not been approved by management are strictly prohibited and may result in charges being deducted from the holding deposit.
Outside Inn Glamping reserves the right to refuse access to unauthorised visitors and may terminate the stay without refund in cases of serious breaches of this policy.
11.4 Smoking Policy
Smoking is permitted only:
In the garden area directly outside your accommodation
Within the designated smoking areas in the car park
Smoking is strictly prohibited:
Inside all accommodations
In or around hot tubs
Inside shared facilities or enclosed areas
11.5 Cigarette Disposal
Ashtrays are provided and must be used where available.
Guests must ensure all cigarette ends and smoking-related waste are disposed of correctly before check-out. Cigarette ends must not be left around the site.
11.6 Smoking Damage & Charges
If our cleaning team identifies the smell of smoke inside the accommodation, or evidence of smoking is found in prohibited areas, additional cleaning and odour removal charges may be deducted from the holding deposit.
Any burns, staining, smoke odour, ash, or damage caused by smoking will be charged accordingly.
12. Noise Disclaimer
Outside Inn Glamping is located near dog kennels. Occasional barking and countryside-related noise may be heard during your stay, particularly during feeding times.
By booking, guests acknowledge and accept this as part of the rural environment.
13. Liability & Emergencies
13.1 Personal Property
Outside Inn Glamping accepts no responsibility for personal injury, loss, theft, or damage to guest belongings during a stay.
13.2 Weather Conditions
We are not liable for disruption, inconvenience, or changes to your stay caused by adverse weather conditions.
13.3 Emergencies
In the event of an emergency during your stay, please contact site management immediately using the contact details provided within your Guest Portal.
14. Wildlife & Natural Environment
Outside Inn Glamping is located within a natural field setting and backed onto woodland. Wildlife forms part of the surrounding environment and habitat.
During your stay, you may encounter wild animals including deer, hedgehogs, birds, insects, and small rodents such as mice or rats. While pest control measures are in place to minimise rodent activity, it is not possible to eliminate wildlife entirely due to our rural location and commitment to maintaining a pet-friendly site.
As many cooking and dining facilities are located outdoors, guests must not leave food or waste outside. All outdoor areas should be kept clean and tidy, and food should be stored securely within the indoor fridge facilities provided.
These measures help reduce the likelihood of attracting wildlife to your accommodation.
By booking with Outside Inn Glamping, guests acknowledge and accept that wildlife may be present during their stay as part of the natural surroundings.
If you feel uncomfortable with the possibility of encountering wildlife or countryside-related environmental conditions, our accommodation may not be the most suitable choice for your stay.
15. Fair Approach to Charges
We understand that accidents can happen and aim to approach all situations fairly and reasonably.
Promptly reporting issues or accidental damage is always appreciated and may help avoid unnecessary charges
Charges will only be applied where we believe damage, misuse, excessive cleaning, negligence, or breaches of these Terms & Conditions have occurred
We always aim to avoid charging guests unnecessarily
Guests are expected to leave the accommodation in a generally tidy and respectful condition upon departure
By making a booking with Outside Inn Glamping, guests confirm that they have read and agreed to these Terms & Conditions.
